AI paperwork agent

Personal project, to install

An AI paperwork agent, installed on the computer. Drop in your bills, notices and certificates: it files them, reads their key details and tracks deadlines. Ask it anything: it searches the documents, acts, such as creating a reminder, and cites its sources. Rules check its reading. Nothing leaves the computer.

The approach

The need

Bills, tax notices, payslips, certificates: a household’s paperwork piles up, with dates not to miss. It says everything about a household: income, health, identity, address.

So I made a choice from the start: to protect this data, the AI agent works on the computer, without sending it online.

File and explain

Drop in PDFs and photos, or scan them with your phone. The AI files them by category and reads the amount, dates, reference and sender. Rules check its reading; if any doubt remains, the document waits to be checked.

Miss nothing

Payment deadlines and expiry dates are taken from the documents, as a list and a calendar. An identity card is flagged early enough to renew it. Binder also warns when a regular bill rises by more than 10%.

Prepare the paperwork

To rent a home or apply for housing benefit, Binder lists the documents required and shows what is ready, missing or too old. The folder exports as a numbered archive.

It also prepares template letters, prefilled with the details of the documents: cancellation, dispute, document request.

An agent that acts

You talk to it in your own words: “When does my passport expire?”, “Remind me to pay the property tax”. The agent picks from seventeen tools on its own: search, read a document, create a reminder, mark a bill paid, draft a letter. It chains them, then answers, citing the documents it consulted.

It changes nothing unless asked. It invents no amount and no date: if it answers without checking the documents, it is sent back to look first.

An AI that stays on the computer

Working locally is a design choice, to protect sensitive data. The AI model runs on the computer: no document is sent to an online service. The database and the files are encrypted.

Nothing is deleted silently: a trash, a history of every action, and a confirmation before any permanent deletion.

How I built it

Designed and developed alone, with Claude Code in agent mode, from my own specification. I test everything and decide what is kept.

A test bench replays realistic requests and checks the tools called, the documents cited and the figures in the answer. On every push, automated tests run on Windows, macOS and Linux.
